Conference Room

Overview

  • Brunswick Community College Library has one conference room available for use daily; it accommodates 10 people comfortably, and features a desktop computer, white board, and projector (which can only be used with a laptop that is checked out at the BCC Library Circulation Desk). Please note that the computer in this room is not networked for printing.

Purpose

  • The conference room is intended as a place for Brunswick Community College (BCC) students, faculty, and staff to study, meet, or work together in a large group. Preference is given to student groups first, followed by faculty/staff, and then community patrons.  The expectation is that users reserving the conference room will be actively using it (i.e., present) for the entirety of the booking.

Eligibility

  • Users with BCC and BCSWAN email addresses may make their own reservations via this online request system. All other users must request reservations at the Circulation Desk (910-755-7331)
  • Online reservations will generate a confirmation email; if you do not receive this confirmation email, then your reservation has not been successfully implemented in the system.  When in doubt, ask library staff at the Circulation Desk to check.
  • Users must show up to the library at appointed time and check in with library staff, scan the QR code at the room door, or click on the check-in link in the confirmation email; please make sure you show up within 30 minutes of your start time, otherwise, you will lose the reservation.

Reservation limitations

  • Online reservations can be made up to one month in advance.
  • The conference room is reserved in 30-minute increments.  Users may stay beyond their reserved time if no one else has reserved the room (or until the next reservation shows up).
  • Reservation holders take precedence over casual users of the conference room -- all users are advised to reserve the room formally at the BCC Library Circulation Desk to avoid being turfed out.

Cancellations

  • Users will receive an email confirming reservation(s), which will include a link to cancel the reservation.  Please check junk folders, as this email often gets automatically directed there.

Late arrivals

  • There is a 30-minute grace period attached to reservations. If users do not arrive within that grace period, the reservation is forfeit and the room becomes available to others.

Conduct expectations

  • Lights must be kept on in the conference room.
  • Noise levels from any conversations and/or equipment should be reasonable.
  • Drinks are allowed in the conference room, provided they are in a closed container.
  • Please do not leave personal belongings unattended in the conference room.
  • All conference room users are expected to be courteous and leave the room ready for the next users.
  • Above all, please be civil to each other and share this room in a spirit of cooperation.  In the event of a reservation or other conflict, please consult with library staff at the BCC Library Circulation Desk.

Please note that the BCC Library staff reserves the right to: (1) enter the conference room at any time; and (2) reassign or refuse a reservation based on noncompliance with the above rules.
